Day-of Coordination Duties

Preparation for your Wedding Day

  • Initial consultation to explain the planning & coordination process  

  • Unlimited email communication from date of contract  

  • Unlimited phone communication during the month of your wedding  

  • Advice on how to personalize your wedding

  • Two weeks prior to the ceremony, all vendors listed on the contract will be contacted to verify details of their services

  • Contact all vendors to finalize any payments due one week prior to the ceremony

  • Development of a detailed wedding timeline and floor plan for contracted vendors and bridal party - details of the wedding day timeline and floor plan will be provided by the bride and groom at least 1 week prior to the wedding rehearsal in order to prepare timeline and floor plan

Rehearsal

  • Organize and supervise wedding rehearsal  (1 hour maximum)

  • Develop & distribute Wedding Day Itinerary to be given to members of the wedding party at the rehearsal - details of the wedding day itinerary for both bridal parties will be provided by the bride and groom at least 1 week prior to the wedding rehearsal in order to prepare final itinerary

Wedding Day

  • On-site coordination and supervision at the ceremony site and during the reception for up to 10 hours on the day of your wedding

  • Manage wedding vendors per your instructions – Jenna Neal Designs will be available in person and by telephone during the entire wedding day to assist vendors with any problems or questions

  • Manage wedding party  

  • Manage vendor & décor setup at ceremony & reception sites  

  • Organize & distribute all personal flowers to wedding party, family members & special guests  

  • Provide Bridal Emergency Kit – aspirin, energy bars, mints, sewing kit, etc.  

  • Facilitate the wedding ceremony

  • Check for any items necessary to properly conduct the ceremony

  • Oversee ushers & guest book attendants

  • Properly line up processional & cue musicians

  • Set up and break down of table numbers/names, place cards, favors, toasting glass & serving set per your instructions  

  • Coordinate entertainment and all announcements/events during reception  

  • Ensure payment of vendor tips & balances
